  1. Who We Are
    This Pilot Centre is operated by Virtual WestJet (“vWestJet”), a nonprofit virtual airline and flight-simulation community.
    vWestJet is not affiliated with, sponsored by, endorsed by, or otherwise connected with WestJet Airlines Ltd.
  2. Information We Collect
    When you apply for or use a Pilot Centre account, we may collect:
    Your name
    Email address
    WordPress username and account information
    FlightLinq user ID
    Pilot application responses and age-eligibility confirmation
    Pilot Centre account status and assigned member role
    Discord user ID, username, display name, server-membership status and role information when you authorize the Discord connection
    Technical information such as your IP address, browser type, login activity and security logs
    We do not request, receive or store your Discord password or FlightLinq password.
  3. How We Use Your Information
    We use this information to:
    Review and administer pilot applications
    Create and manage Pilot Centre accounts
    Confirm eligibility for pilot-only content
    Match Pilot Centre accounts with FlightLinq pilot records
    Connect approved pilots with the vWestJet Discord server
    Assign the FlightLinq Pilots Discord role
    Synchronize pilot nicknames in Discord
    Communicate account, application and operational information
    Protect the Pilot Centre against unauthorized access, fraud and abuse
    Maintain and improve the Pilot Centre
  4. Discord Authorization
    Discord account connections are completed through Discord’s official OAuth2 authorization service on Discord’s website.
    When you choose to connect Discord, Discord will display the information and permissions requested by vWestJet and ask you to authorize the connection. vWestJet does not receive your Discord password.
    You may revoke the connection through your Discord account settings. Revoking authorization may prevent automatic role or nickname synchronization.
    Discord’s handling of your information is governed by Discord’s own privacy policy and terms.
  5. FlightLinq
    The Pilot Centre may use your FlightLinq user ID to confirm your identity and associate your Pilot Centre account with your vWestJet pilot record.
    FlightLinq is a separate service. Information submitted directly to FlightLinq is governed by FlightLinq’s own privacy practices and terms.
  6. Email Communications
    The Pilot Centre may send application, approval, account, password-reset and operational emails. Email delivery may be processed through third-party email services, including Google and FluentSMTP.
    We do not use Pilot Centre account information to send unrelated commercial marketing.
  7. Cookies
    The Pilot Centre uses cookies required for account login, authentication, security, preferences and normal WordPress functionality.
    Some external services may set their own cookies when you follow a link or authorize a connection on their website.
  8. When We Share Information
    We do not sell or rent personal information.
    Information may be processed by service providers required to operate the Pilot Centre, including:
    Namecheap and EasyWP for website hosting
    WordPress and installed account-management services
    Google and FluentSMTP for email delivery
    Discord for account authorization and community-role management
    FlightLinq for virtual-airline operations
    We may also disclose information when reasonably necessary to protect the Pilot Centre, investigate misuse, comply with applicable law or respond to a lawful request.
  9. Information Retention
    We retain information for as long as necessary to operate your Pilot Centre account, administer vWestJet membership, maintain appropriate operational records and protect the security of our services.
    Information that is no longer reasonably required may be deleted or anonymized.
  10. Information Security
    We take reasonable measures to protect Pilot Centre information from unauthorized access, alteration, loss or misuse. No internet-based service can guarantee absolute security.
    Never submit your Discord, FlightLinq or email password through a vWestJet page or form.
  11. Age Requirement
    Applicants must be at least 16 years old. The Pilot Centre is not intended for children under 16, and we do not knowingly create accounts for individuals below the minimum age.
  12. Your Choices
    You may contact vWestJet to request:
    Access to the personal information associated with your Pilot Centre account
    Correction of inaccurate information
    Deletion of your Pilot Centre account and eligible associated information
    Assistance disconnecting your Discord account
    Some information may be retained when reasonably required for security, administrative or legal purposes.
  13. External Links
    The Pilot Centre contains links to third-party services, including Discord, FlightLinq and the main vWestJet website. vWestJet is not responsible for the privacy practices, availability or content of third-party services.
  14. Changes to This Policy
    We may update this Privacy Policy when the Pilot Centre, its integrations or its information-handling practices change. The latest revision date will appear at the top of this page.
